The “It Stopped Working” Callback System
How Small Contractors Handle Warranty Requests, Return Visits, and Chargeable Service

The job was finished, signed off, and paid. Months later the phone rings, and somebody says the thing you installed has stopped working.
Nothing in that sentence tells you what happened — not to you, and not to the customer. Say yes too quickly and a simple callback can become an unnecessary truck roll, lost time, and an expectation you never meant to create. Say no too quickly and you may be refusing a repair you actually owe.
Covered, conditional, or chargeable.
Covered
The coverage that applies to the job accounts for the fault. The correction is carried out and recorded as covered work, without argument.
Conditional
Nobody knows the cause yet. The visit goes ahead on agreed terms, so the finding decides who pays rather than the order of the conversation.
Chargeable
The request sits outside the coverage that applies. It is still handled helpfully — as the service work it is, quoted and agreed like any other job.
A ten-stage operating system, not a reflex.
Three stages prepare the business before the call. Seven carry a case from first contact to closure: take the call without accepting or denying responsibility, establish what coverage applies, classify the case, settle charges before the truck rolls, and close it so it stays closed.
